If you let it, it will run your life. It can consume your days and nights and take away from the progress of your business. Email needs its own daily spot on your time map. It needs to be checked every morning, midday and at the end of the work day.
If it is not email time, shut. it. down. Close it. Shut the window. Seriously.
When it is your email specific time, use a three step approach to managing your email.
Go through the new emails and delete whatever you can. Delete spam, delete ads, delete newsletters that you won’t read (or better yet, unsubscribe). Get rid of the junk clutter.
- Reference information – have a read later file. I do most of my learnings on a Friday, I watch videos, listen to podcasts, read newsletters and blog posts… just file it for a time when you can attend to it. And if you haven’t read a newsletter in months from a specific person – then simply unsubscribe (except to mine, of course!).
- Action Information – this file is for email that will take more than 2 minutes. Address them during your specific email time with care and attention.
It’s also a good idea to keep a list of people you need to contact – just write it out in the morning, and a list of people you are waiting to hear from. This helps you keep tabs on the flow of information you need to be on the lookout for and will you remember to respond to those you need.
It’s a good idea to take a day and empty your inbox completely. There is nothing quite like working with an empty inbox to help with the mind clarity and focus.
